Troop 562 Committee Meeting

The meeting was called to order at 3:30pm by Dwayne Brogle.

The responsibilities of each committee positions were read and questions were answered. The following positions were assigned for a term of one year:

Popcorn Fundraiser Update – Shelda Melancon
Margaret White is to pick up the materials (forms) from council. Distribution of forms is tentatively set for Friday September 29th. Shelda will go online for add’l information.
Thirty percent of the gross sales goes to the troop and will be distributed as follows:
For individual sales under $150 – 15% goes into that individual’s scout account.
For individual sales over $150 – 20% goes into that individual’s scout account.
The remainders of the profits are to go into the troop account. These funds are to be used to subsidize the cost of summer camp.
Court of Honor – Margaret White
Means and methods of improvement of the Court of Honor ceremonies were discussed.
Business cards with the rank insignia will be given to each scout during the ceremony with the actual awards given after completion of the ceremony with the exceptions of the tenderfoot parent’s pin. The parent pin will be presented to each Tenderfoot Scout during the ceremony.
The troop will attempt to present a Court of Honor ceremony on a quarterly basis with a deadline for advancement 2 weeks prior to the ceremony.
Sharon Pender and Margaret White will create a Standard Operating Procedure for Court of Honor ceremonies. It is undecided at this time whether the SOP will be available on the web site.
Advancement Procedures – Dwayne Brogle and Sharon Pender
Scout records will be backed up on a monthly basis and given to Stacey Capps, Secretary for record keeping purposes and a copy to Sharon Pender, Advancement Coordinator to verify and assist in performing the duties of Advancement Coordinator.
Each scout will be given five (5) excused absences per year to attend school & family functions. In addition to those five days the scout’s attendance will not be penalized when attending various scout related activities. When in a leadership position, these absences will not count against nor toward the leadership requirements of advancement.
Each scout will be required to go to the Advancement Coordinator to set-up a date and time for his Scoutmaster Conference and Board of Review.

Summer Camp – Everyone in attendance
The location for the 2007 summer camp will be Camp Woodruff in Georgia. Due to the distance necessary to travel, more parental involvement is necessary and encouraged. Fundraisers are being planned to offset the cost of travel and participation.
The camping trip is estimated to take a full eight days. Planning is ongoing and will be discussed further at future committee meetings.

Camporee Attendees? – Everyone in attendance
Cherie Newton took an attendance role of the parents expected to attend the camporee dinner.

New areas of interest has been posted on the website along with additional links to other sites. Everyone is encouraged to visit the website often for new troop information. Parents and scouts are encouraged to provide a current e-mail to the troop webmaster.
Calendar of Events – All
Scoutmaster Hebert would like the parents to get with their respective scouts to suggest different activities for the upcoming calendar year. The scouts will present their ideas at the Sept. 29, 2006 troop meeting. Discussion of some scouts not being in attendance due to a school function has been noted and Scoutmaster Hebert has agreed to let those scouts present their ideas via e-mail or other means with a Sept. 29th deadline.
He would also like the committee to begin preparing for the 2006 Winter Camp which will be at Camp Salmen. This discussion will be held at the October 13th committee meeting.
Cherie Newton would like us to discuss recharter at the October 13th committee meeting.
It was also suggested that future calendars preparations begin in August, due to many school activities beginning in September.

Open Forum – Everyone in attendance
The troop would like to have two adult members go to the aquatics training.
Camping fees will now be $20 per scout per camping trip. This increase is necessary due to the inflation of costs for camping fees, food and supplies. Excess money left after expenses will be maintained in a fund for camping equipment if under $5.00, if over $5.00 it will be refunded to the scout’s account.
Equipment, material and advancement needs have been tabled until the October 13th committee meeting.
